Design a form

The designer shows the form exactly as the person answering will see it, while you build it. On the left is the field palette; in the center, the form with its sections; on the right, the properties of whatever you select.

  • It saves on its own. The draft is saved every few seconds; the top bar reads Guardando… (Saving…), Guardado (Saved) or Cambios sin guardar (Unsaved changes). If someone else saved the same form while you were editing, you choose: reload what was saved, save your changes as a copy, replace it with yours, or download them as JSON.
  • Undo and redo with Ctrl+Z and Ctrl+Y.
  • Escritorio and Móvil (Desktop and Mobile). Switch the view to see how it looks on a computer and on a phone.
  • Problems right away. The counter in the bar (Sin problemas, N problemas, N avisos: no problems, N problems, N warnings) updates as you design; open it and each problem takes you to its field.
  • Read only. If your role can only view forms, or your plan does not include form design, the designer says so and does not allow editing.

With the keyboard: Alt+↑ and Alt+↓ move a field, Alt+← and Alt+→ move it to another column or section, and Supr (Delete) removes it (you can undo).

In the Entradas (Inputs) tab you declare the data the form receives when the task is created: the invoice number the robot read, the case’s customer, the amount the assistant calculated. With them, the person sees the context without typing it again, and fields can be prefilled.

Click Agregar entrada (Add input) and define its key, its type (Texto, Número, Entero, Sí / no, Fecha, Fecha y hora, Objeto, Lista or Archivo: text, number, integer, yes/no, date, date and time, object, list or file), whether it is Obligatoria (Required) and whether it is Sensible (Sensitive). Whoever creates the task (the flow, the assistant or the robot) provides those values.

A form is organized in sections. Each one has a Título (opcional) (Title, optional; without a title, no heading is shown), from 1 to 4 columns, the Se puede plegar (Collapsible) option and a Cuándo se ve la sección (When the section is shown) rule. Each field takes up an Ancho (Width) of 1 to 4 columns, and Mover a la sección (Move to section) moves it elsewhere.

On a phone, or on a narrow screen, each section is shown in a single column and in the same order: you design once and it looks good on both.

Drag a field from the palette onto the form, or press Enter to place it after the selected field.

GroupFields
Básicos (Basic)Texto (Text), Área de texto (Text area), Número (Number), Moneda (Currency: COP, USD or EUR), Correo (Email), Teléfono (Phone)
Selección (Selection)Lista desplegable (Dropdown), Selección múltiple (Multiple choice), Opción única (Single choice, up to 8 options), Casilla (Checkbox)

Archivos y tablas (Files and tables)Archivo adjunto (Attachment), Tabla (Table)
Presentación (Display)Texto informativo (Information text: instructions with bold, italics, lists and links), Valor de solo lectura (Read-only value: shows an input as text; it is not part of the answer)
PanelWhat you set
GeneralEtiqueta (Label), Clave (en la respuesta) (Key in the answer: generated from the label, it is the name the value arrives with for whoever uses it), Ayuda (Help), Texto de ejemplo dentro del campo (Placeholder) and Tipo (Type).
Validación (Validation)Obligatorio (Required; on a checkbox, Debe marcarse («acepto»), must be checked, “I accept”). Minimum and maximum characters. A pattern: Cédula colombiana (Colombian national ID), NIT (con dígito de verificación) (tax ID with check digit), Placa de vehículo (vehicle plate), Solo dígitos (digits only), Letras y números (letters and numbers) or a Patrón propio (expresión regular) (custom pattern, regular expression). Mínimo and Máximo (Minimum and Maximum) for numbers and dates, fixed, relative to today or taken from otro campo (another field: the end date cannot be before the start date). Decimales (Decimals). How many options to choose at least and at most.
Opciones (Options)Fijas (Fixed), one per line (with value | text you store a value different from the one shown), or De una entrada (lista) (From an input, list) that arrives when the task is created.
Valor (Value)Valor inicial (Initial value), Precargar con la entrada (Prefill with the input) and Formato (Format).
Privacidad (Privacy)Dato sensible (Sensitive data) and Mostrar los últimos 4 caracteres (Show the last 4 characters). See Sensitive data.
Reglas (Rules)When it is shown, when it is required, when it is read only and whether it is calculated. See below.

On the form, each field shows tags that sum up its behavior: Obligatorio (Required), Obligatorio con regla (Required by a rule), Calculado (Calculated), Visible con regla (Visible by a rule), Solo lectura (Read only) or Sensible (Sensitive). If you remove a field other rules depend on, the designer tells you which ones and offers Quitar campo y reglas (Remove field and rules).

Rules make the form ask only for what each case needs. You build them by choosing, not by writing:

  • When it is shown: Siempre se ve (Always shown), Se muestra cuando… (Shown when…) or Se oculta cuando… (Hidden when…). A hidden field is not validated and is not included in the answer.
  • When it is required: besides Obligatorio, Es obligatorio cuando… (Required when…). Here you can use La decisión (The decision): for example, the Motivo del rechazo (Rejection reason) is required when the decision is Rechazar (Reject).
  • When it is read only: Es de solo lectura cuando… (Read only when…). A read-only field keeps its initial value.
  • Cuándo se ve la sección (When the section is shown) and, in a table, Cuándo se ve la celda (When the cell is shown).

Each condition compares a field, an input or (in a table) another column of the same row with a fixed value or with otro campo (another field). Combine several with Todas (y además) (All, and also) or Basta con una (o bien) (Any one, or else). The comparisons depend on the field type:

TypeComparisons
Textis, is not, contains, does not contain, is any of, is none of, is empty, has a value
Number and currencyequals, differs from, is greater than, is greater than or equal to, is less than, is less than or equal to, is empty, has a value
Dateis, is after, is on or after, is before, is on or before, is empty, has a value
Checkboxis checked, is not checked
Multiple choiceincludes, does not include, is empty, has something
Table and fileshas rows or has no rows; has files or has no files

Each rule reads like a sentence, for example: «Se ve salvo cuando Total es mayor que $ 1.000.000» (Shown unless Total is greater than $1,000,000). The Reglas del formulario (Form rules) panel shows them all together. If two rules depend on each other in a circle, the designer explains it and does not let you publish. For advanced cases, Editar como JSON (Edit as JSON).

A calculated field fills itself in and the person answering does not type it: a row’s subtotal, a table’s total, a tax. Turn on Calcular el valor (quien responde no lo escribe) (Calculate the value; the person answering does not type it) and choose the Operación (Operation): Un solo valor (A single value), Sumar (+) (Add), Restar (−) (Subtract), Multiplicar (×) (Multiply), Dividir (÷) (Divide) or Si… entonces… si no… (If… then… else…). Operands can be a field, Un número fijo (A fixed number), the Suma de (Sum of) a column or the Cantidad de filas (Number of rows) of a table. Adjust Si está vacío, usar 0 (If empty, use 0), Decimales de la división (Division decimals) and Redondear a (decimales) (Round to, decimals).

The math is done with exact decimals (no rounding errors in the cents) and Zoan Cloud recalculates it when it receives the answer, so the stored result is always correct. The visual builder is available on number and currency fields; for other calculations (joining text, days between two dates, the first non-empty value) use Editar como JSON (see the reference).

The Archivo adjunto (Attachment) field asks for documents or photos: the receipt for an expense, the scanned ID, the photo of some damage. Set the Tipos aceptados (Accepted types: PDF, imágenes PNG, JPG or WEBP, Word y Excel, CSV or texto plano, plain text), the Máximo de archivos (Maximum files, up to 10) and the Tamaño máximo (MB) (Maximum size, up to 25). On a phone, the person answering can take the photo with the camera.

Each file is checked before it is accepted: its real type is verified (not just the extension) and it goes through the antivirus. Files from answers are stored separately, outside your Storage buckets, and files that were uploaded but did not end up in the answer are deleted when the task closes.

A Tabla (Table) asks for several rows of the same thing: the items of a purchase, the expenses of a trip. Add columns with Agregar columna (Add column; of any type except another table, information text or read-only value), mark which ones are Obligatoria (Required) and define their Reglas y cálculo de la columna (Column rules and calculation), for example subtotal = quantity × value. Set the Mínimo de filas (Minimum rows) and Máximo de filas (Maximum rows, up to 200). On a computer it looks like a table; on a phone, each row is a card with Agregar fila (Add row) and Quitar fila (Remove row).

A column can also hold files: each expense with its receipt.

Mark as Dato sensible (Sensitive data) any field, column or input that should not circulate: an account number, a salary, an ID document. With Mostrar los últimos 4 caracteres it shows as •••• 4050; otherwise it shows as Dato sensible.

What changes with sensitive data:

  • The person who must answer the task sees it in clear text while the task is open.
  • Everyone else sees it hidden. The person who already decided and those who manage tasks can click Mostrar datos sensibles (Show sensitive data), and it is recorded in the audit log. Someone who can only view all tasks cannot reveal it. In a case’s monitor, revealing it requires the view flow sensitive data permission.
  • It never goes in emails, and AI receives [dato sensible] instead of the value.
  • Robots and the task’s webhooks do receive the real value, because they need it to do their work.
  • Opening a sensitive file counts as revealing it and is also recorded in the audit log.
